Folks, Here is the current agenda for our board meeting this weekend. Comment if you have suggestions for our meeting that I have not touched on here. I will try posting the minutes of the meeting here as well.

Old Business:

Old business are agenda items from past meetings that need update reports

  1. Report from the president as to the official status of our organization (summarize changes since the last meeting)

    1. Registered with the IRS
    2. Tax ID number
    3. Bank accounts

 

New Business:

New Business contains committee reports from committees we outlined at the last meeting, and topics we encountered or have touched on since the last meeting.

  1. Current camp financial crisis
    CCAA members who attended the Chanco Board meeting will report

  2. Elimination of the Executive Director position
    1. What is up with this?
    2. What is / Do we need to/ craft a response to the board?
    3. Draft a report of our findings and/or opinions of the current situation to our membership
  3. Fund raising strategery
    1. How to best apply them to the camp mission
    2. Where are we competing with the camp capitol campaign
    3. Where can we explore donation possibilities that don't compete
    4. What planning has gone into a pitch
  4. Alumni Reunion / Fall Fest Sleepover
    1. Need to set up the committee and get this fully underway
    2. Who is the chair?
    3. When will this be?
    4. Will it be clothing optional?
    5. What food will we supply, who will supply it?
    6. How much will be charged to attend?
    7. Structure and organization of the fund raising for this event
  5. Web site issues.
    1. Greg has given us the power to modify has anyone done this?
    2. Do we need some training from Greg?
    3. What is our hit rate. (the pornos of Tater are not working) Should we advertise?
    4. Are we ready to accept dues and donations via Paypal?
    5. Do we have the capability of a secure contact database behind the web page yet?
  6. Alumni Outreach
    1. What is the current state of our membership.
    2. How much has it changed this year
    3. What needs to be done to increase our visibility and our membership
  7. What does the camp need before it opens
    1. Jenny went to help with the open house this weekend
    2. What can we do to help with the other open houses?
    3. Do we have a conduit to the parishes of DSV to:
      1. Ask for this stuff
      2. To get volunteer labor and expertise
      3. To ask for money
  8. Attendee report from the Chanco Board of Directors meeting
        1. What needs to be fixed, bought, broken or stolen before camp can open
        2. How can we help get this stuff
  9. What can we do to help with the other open houses
  10. Alumni participation ideas, Identify, find a coordinator and execute

Though I know our focus right now is on raising funds and how the alumni can help keep the Chanco spirit alive, I think you may want to check out Ben Swenson's blog about how the OLF may effect Chanco in the long-term (I know- like we don't have enough to worry about, right?). It may be something you want to mention at the board meeting simply because there will need to be a LARGE grassroots operation in place when final location discussions are made by the legislature. As a member of the House of Delegates Clerk's staff, I have seen initiatives such as these live or die depending on how well informed and active people are. Though Ben points out that it's not going to happen next week, I think it's something that needs to be discussed so CCAA can be prepared. Just a thought.
